Director of Administration
Ontario Pioneer Camp located in Muskoka, Ontario, is looking to fill the key leadership role as the Director of Administration to lead the organization’s administrative, office, and database management infrastructure. This individual must be highly organized and possess a solid record of management experience, strong communications and interpersonal skills, an ability to work flexibly and creatively, and have a passion for the mission and purpose of Ontario Pioneer Camp and Intervarsity Christian Fellowship. Each year over 8000 campers and guests attend Ontario Pioneer Camp for summer and year round programs.
Position Summary The Director of Administration provides leadership in Pioneer Camp’ efforts to develop, strengthen, and implement effective operational systems positioning Pioneer Camp to fulfill its vision and mission. This position is responsible for spearheading key planning, administrative, and organizational efforts. The Director provides support and facilitates strong communication between the office, director team, operation team, customers, donors, and the general public. The position also oversees and implements special projects, including program, fundraising, and marketing as assigned.
Description of Duties:
Management Systems/Human Resources
Leads the development, implementation, and tracking of the comprehensive organizational operating plan and performance management system, including developing and monitoring timelines and performance benchmarks.
• Oversees the development, implementation, and continuous improvement of procedures including summer staff manual , risk management manual and office procedures and manual.
• Leads the execution of key human resource, procedures and systems, including office staff recruitment, orientation, documentation, training/development, and evaluation, payroll, and benefits administration in conjunction with the National Service Center.
• With the human resources department of the National Service Center, ensures compliance with all legal requirements regarding employment and payroll.
• Provides leadership in the management, training, and development of the office staff.
• Review of workflow and office staffing.
• Provides support for staff and management team meetings, retreats, and training sessions.
• Ensures that the administrative function of the camp is customer service orientated and externally focused for campers, parents, volunteers, groups and donors.
Finance
• Responsible for the implementation and control of office budgets.
Record Keeping and Database Management
• Regularly reviews record keeping procedures and ensures proper compliance with all staff, employment, camper, medical and incident report records.
Responsible for the management of the camp database including but not limited to the following
• Regular Review of database management procedures
• Report generation
• Assisting Registration as needed
• Supervision of Registration department
• Liaising with the National Service Centre advancement department regarding database record keeping and database management
Special Projects / Volunteer Management
• Oversees the development and implementation of special projects, including creation and monitoring timelines and work plans as assigned.
• Oversees the recruitment, and training of the adult volunteer program including paperwork, communications, evening meeting and on site events.
An ideal candidate will possess the following qualifications:
• Strong Christian role model.
• A passion for camping as a viable ministry
• Strong relational skills – ability to relate to diverse audiences [parents, pastors, youth workers, alumni, agency representatives, donors]
• Summer Camp experience strongly preferred
• Experience in marketing, advertising and/or promotions preferred
• Self Starter and self directed
• Must have good written and verbal presentation skills
• Ability to work flexible hours
• Ability to inspire confidence in parents, donors, agencies and staff.
• Demonstrated leadership ability.
• Strong communication skills.
• A demonstrated ability to meet established goals and targets
• Demonstrated knowledge and experience in camping ministries.
• A desire to work in team.
• Demonstrated administrative abilities.
• Database management experience and demonstrated ability
• A customer service orientation
• 5 years of management experience in a nonprofit organization
• Detail oriented, highly organized, and ability to multi-task
Position is full-time and reports to the Director of Operations and the Executive Director.
